OUR holds orientation on the implementation of harmonised academic policies and procedures

The Office of the University Registrar (OUR) facilitated a two-day Academic Program Improvement (API)-funded Workshop on the Implementation of Harmonized Policies and Procedures related to admission, student progress, and graduation, and the Implementation/ Roll-out of automated academic processes for the University of the P Philippines Visayas (UPV).  The activity took place on September 5 and 6, 2024 at the Little Theater, UPV Iloilo City campus. 

The participants of the workshop included college secretaries, OCS staff, division/department chairs, institute directors or faculty representatives, division/department/institute staff, deans, University Registrar, and selected OUR personnel. It workshop was conducted to ensure that the OUR, colleges, and schools in UPV apply the University System policies and procedures correctly and consistently. 

The first day of the orientation commenced with the opening remarks and briefing by Asst. Prof. Nilo C. Araneta: UPV University Registrar.  It was followed by lectures from the two resource persons, Prof. Karen Joyce G. Cayamanda, University Registrar of UP Mindanao, and Asso. Prof. Nieves A. Toledo, former UPV University Registrar, and CFOS faculty member.  Prof. Cayamanda presented the admission policies which includes topics on shifting, transfer, cross-registration, return from leave of absence, readmission from absence without leave (AWOL), MRR, and permanent dismissal, among others.  In the afternoon, Asso. Prof. Toledo discussed policies on students’ progress and graduation, specifically on attendance, excuse slip, waiver of prerequisite, substitution of subjects, academic load, removal of grade of 4, and completion of “INC,” among others.  After each of the topics, discussions through Q&A are conducted.

The second day began with a workshop to harmonize all the certification templates, forms, fees, and other academic policies and procedures in the colleges and schools.  The participants from the departments, divisions, institutes, and OCS shared the forms to the group. The presentation of the certifications and forms was led by Asst. Prof. Lhumen A. Tejano, College Secretary of the College of Fisheries and Ocean Sciences, who also served as the Master of Ceremony during this two-day event. 

The participants actively participated in the discussions by giving comments and suggestions to improve the certification templates, forms, fees, and other academic policies and procedures.  They distinguished between the certifications and forms that are unique to each college or school and those that are shared by colleges and schools. They also decided which forms and certifications to combine or retain and which ones to discontinue.

Ms. Rina-Joy C. Ambatang, Information Systems Analyst of the UP Visayas Computerized Registration and Student Information System (UPV-CRSIS), presented an overview of several automated academic processes during the afternoon session. 

This two-day orientation concluded with the presentation of certificates and tokens of appreciation to the three resource persons, followed by a closing message from Asst. Prof. Nilo Araneta.
